Refund & Cancellation Policy – Quantum Biohack
Effective Date: May 1, 2026.

2. Deposit & Payment Terms
- A deposit and/or full payment may be required to confirm the patient’s medical procedure and reservation.
- Payments may include medical services, physician fees, facility fees, coordination fees, accommodations, transportation, or other bundled services.
- Certain portions of the payment may be non-refundable due to advance scheduling, medical preparation, administrative costs, or third-party vendor commitments.
3. Patient Cancellation Policy
A. Cancellation 21 Days or More Before Procedure
- Patients who cancel 21 days or more before the scheduled procedure date are eligible for a full refund, excluding:
- Non-refundable administrative fees
- Bank/wire transfer fees
- Credit card processing fees
- Third-party reservation costs already incurred
B. Cancellation 14–20 Days Before Procedure
- Patients who cancel 14–20 days before the scheduled procedure date are eligible for a 50% refund of amounts paid.
C. Cancellation 7–13 Days Before Procedure
- Patients who cancel 7–13 days before the scheduled procedure date may receive a partial refund at the provider’s discretion, depending on incurred medical and operational costs.
D. Cancellation Less Than 7 Days Before Procedure
- Patients who cancel less than 7 days before the scheduled procedure date are not eligible for a refund.
E. No-Show Policy
- Patients who fail to appear for their scheduled procedure or appointment without prior written notice will be considered a no-show and will not receive any refund.
4. Rescheduling Policy
- Patients may request to reschedule their procedure subject to provider approval and medical availability.
- Rescheduling requests made:
- 21+ days in advance may be accommodated without penalty.
- Less than 21 days in advance may incur administrative or rescheduling fees.
- Previously paid amounts may be applied toward the new procedure date at the provider’s discretion.
5. Medical Disqualification or Safety Concerns
If the provider determines that the patient is not medically suitable for the procedure:
- The procedure may be postponed or canceled for patient safety.
- Refund eligibility will depend on:
- Whether medical testing has already been performed
- Pre-operative services already rendered
- Third-party costs already incurred
The provider reserves the right to deduct reasonable medical and administrative expenses before issuing any refund.
6. Provider Cancellation or Postponement
In the event the provider must cancel or postpone the procedure due to:
- Physician unavailability
- Medical facility issues
- Emergency situations
- Force majeure events
- Safety concerns
The patient may choose either:
- Rescheduling the procedure, or
- Receiving a refund of eligible unused amounts paid.
The provider is not responsible for reimbursement of:
- Airfare
- Hotel accommodations
- Lost wages
- Travel expenses
- Other indirect or consequential costs unless otherwise required by law.
7. Non-Refundable Expenses
The following may be non-refundable once incurred:
- Consultation fees
- Diagnostic testing
- Laboratory work
- Imaging
- Medical evaluations
- Administrative or coordination fees
- Third-party booking costs
- Travel-related expenses
- Customized medical products or implants
8. Refund Processing
- Approved refunds will be processed within [7–30] business days after confirmation.
- Refunds will generally be issued using the original payment method.
- International bank transfer fees, exchange rate fluctuations, and payment processing fees may be deducted from the refund amount.
9. Force Majeure
The provider shall not be liable for cancellations, delays, or inability to perform services due to events beyond reasonable control, including but not limited to:
- Natural disasters
- Pandemics
- Government restrictions
- Civil unrest
- Travel bans
- Acts of God
Refunds in such situations will be evaluated on a case-by-case basis.
10. Acknowledgment
By proceeding with payment and scheduling services through Better by MTA, the patient acknowledges that they have read, understood, and agreed to this Refund & Cancellation Policy.
